The organization's programs focus on conserving wildlife, restoring habitat and waterways, expanding outdoor opportunities, connecting children with nature, and addressing the causes and consequences of climate change. To support our mission, we seek an Office Manager to join our National Advocacy Center in Washington, DC.

The National Advocacy Center (NAC) Office Manager will be responsible for a wide variety of tasks and outcomes resulting in a well-run office. Responsibilities will include day-to-day operation of our shared spaces (conference rooms and kitchen), meeting logistics, executive support and variety of conservation-program operations functions. Working with the Director of Operations, the Office Manager will be part of a two-member Operations team with a diverse set of responsibilities to support and equip wildlife conservation campaigns in a dynamic downtown-DC office.

In this role you will support:

Office Operations

  • Maintain, replenish, and organize inventory of office supplies, print materials, and promotional items
  • Ensure that internal paperwork and forms are appropriately completed and routed through other departments, including new-hire paperwork
  • Oversee and organize schedules for use of guest offices and work stations, conference and huddle rooms
  • Create online survey tools and other mechanisms for generating staff feedback
  • Oversee kitchen supplies and cleanliness, including rotating staff-cleaning schedule
  • Coordinate equipment maintenance matters including those related to copiers and printers and with IT
  • Monitor and address office suite needs in concert with building management services
  • Manage NAC reception desk, including staffing the desk one half-day per week and organizing staff to sign-up for other shifts

Program Operations

  • Work with NAC program teams on drafting and processing MOUs and contracts with partners and vendors
  • Process incoming checks and invoices through NWF's financial systems
  • Route new grant awards through NWF's review and approval process
  • Support on-boarding and orientation of new staff & intern program logistics
  • Maintain National Advocacy Center SharePoint site and shared DropBox files

Executive Support and Meeting Logistics

  • Complete monthly expense reports for 2-3 executives (Vice Presidents)
  • Book travel and other reservations for 2-3 executives
  • Coordinate on-site, and occasionally off-site, meetings and small conferences


  • Bachelor's degree preferred
  • Two years of office administration or nonprofit operations experience required  
  • Experience with audio-visual equipment and video conferencing software preferred
  • Experience booking travel and filing expense reports desired
  • Superior organizational skills/detail oriented
  • Strong interpersonal and verbal communication skills
  • Capacity to problem solve spontaneously with a customer-service mindset
  • Ability to multitask and prioritize multiple projects
  • Knowledge of MS Word, Excel and general computer aptitude & eagerness to learn

Some occasional travel may be required
